General information on hotel bookings

International Conference Services (ICS BV) has reserved a large number of hotel rooms in various hotels in different price categories. The majority of the hotels are located in the city centre. The Amsterdam RAI is only a few minutes from the city centre and can easily be reached from all hotels by public transportation. Please refer to the hotel map to see where the hotels are located. The numbers on the map refer to the numbers in the hotel list. Short descriptions of the hotels are available on the Congress website.

Reservation and Payments
Reservations will be handled on a first-come, first-served basis. In the event your preferred hotel is fully booked, the Congress Secretariat reserves the right, after consultation with the participant, to book another hotel in the same category. All hotel reservations need to be guaranteed by a credit card valid until at least June 2008. Guests are responsible for payment of all charges at checkout. Any inquiries or requests for additional information on room reservations should be addressed directly to ICS BV.

Please note that the deadline for guaranteed room reservations is 16 April 2008. Request for room reservations after this deadline can only be handled upon availability and with credit card guarantee.

Change of Hotel Bookings
All changes to hotel reservations will be performed by ICS BV. All changes must be requested in writing.

Changes on reservations with arrival on 26/27/28/29 May 2008 can only be processed if received before Friday 23 May 2008 17.00 CET.

Check-in /check-out time
Hotel check-in time is 15.00 hrs or later. If arriving after 18.00 hrs, please notify ICS BV in advance. Check-out time is between 11.00 and 13.00 hrs (depending on the hotel). In order to guarantee your room availability for an early check-in or late check-out, an additional night reservation is strongly recommended.

Cancellation Policy
Notification of cancellations and modifications should always be submitted in writing to ICS BV. Please refer to the hotel table to see which hotels fall into each of the following policy categories.

Group 1:	Cancellations received until 1 week before check-in will be charged €50 for administrative costs. Cancellations received after 1 week before check-in and no shows will be charged 100%.
Group 2:	Cancellations received until 1 month before check-in will be charged €50 for administrative costs. Cancellations received between 1 month and 2 weeks before check-in will be charged for 1 night. Cancellations received after 2 weeks before check-in and no shows will be charged 100%.
Group 3:	Cancellations received until 1 month before check-in will be charged €50 administrative costs. Cancellations received between 1 month and 2 weeks before check-in will be charged 15%. Cancellations received between 2 weeks and 1 week before check-in will be charged 35%. Cancellations received between 1 week and 3 days before check-in will be charged 60%. Cancellations received after 3 days before check-in and no shows will be charged 100%.
Group 4:	Cancellations received until 2 months before check-in will be charged €50 administrative costs. Cancellations received between 2 months and 1 month before check-in will be charged 35%. Cancellations received between 1 month and 2 weeks before check-in will be charged 60%. Cancellations received after 2 weeks before check-in and no shows will be charged 100%.
